How an NCAA DII communications team saves 40 hours per month with FanWord Assist
February 10, 2026
On a Wednesday night in basketball season, the final buzzer isn’t the end of the work.
For Florida Southern’s athletics communications staff, it’s the moment the checklist begins: recap, photos, headline, graphic, posting, equipment breakdown—then the drive home. And for two staff members, that drive is 45 minutes.

Who: Florida Southern College
Nickname: Moccasins (or the Mocs)
Division: NCAA Division 2
Conference: Sunshine State Conference
Varsity Sports: 22 teams
Location: Lakeland, FL
Claim to Fame: 30 NCAA national championships and 208 SSC titles
Challenge: Long nights and to-do lists
Before FanWord Assist, the rhythm after games was familiar to every small-college communicator: the recap took the bulk of the time and everything else had to wait.
Photos that didn’t get posted that night went out the next morning. Social media was on hold because of the time taken to write the recap. Equipment breakdown sometimes got pushed late or forced early the next day because the staff was still finishing content.
“We wanted to focus more on content post-game,” said Clay Roe, Assistant Director of Athletics Communications at Florida Southern. “Photography, videography, getting some of that out a little quicker.”
There was also the reality of coverage overlap. Florida Southern operates with a four-person communications team (strong for Division II), but their scope is wide because everything falls in-house: content, social, graphics, creative media, and broadcasting. When postseason travel or championships hit, people have to cover for one another on short notice.
In those moments, consistency matters as much as speed.
Solution: Getting finished in half the time
After hearing about FanWord at a Sunshine State Conference meeting, the Mocs adopted FanWord Assist to speed up the repeatable parts of the job, things like AI-powered game recaps. transcribing interviews, and writing player bios.
The immediate change was postgame cadence.
Instead of spending roughly 90 minutes after games on postgame tasks, per Roe, Florida Southern now cuts that in half. Across nearly 200 game recaps this year, that time savings changes everything downstream.
Since adopting FanWord Assist in September, the Mocs have generated over 200 game recaps, saving significant time downstream.
Because FanWord generates a high-quality game recap quickly, the staff can split responsibilities: one person handles content packaging while the other generates the recap and prepares it for posting.
“It’s allowed us to even break down [our equipment in] the gym faster,” Roe explained. “Which our facilities people appreciate in the mornings. And then we have all three courts available for our basketball teams doing shoot-arounds during the day.”
It also means Florida Southern can consistently publish more photos, social posts, and quick-hit content that lands in the moments following the game when interest is highest.

Bonus: Consistency when the team subs in
Another benefit for Florida Southern is the ability for teammates to jump into coverage smoothly.
When one staff member is tied up at a multi-day swim championship and another has to cover baseball, FanWord Assist helps keep output consistent. Even if someone hasn’t handled that sport recently, the technology is trained on each sport, ensuring that language, recap style, and structure stay familiar.
“We know that it’s going to be pretty consistent,” Roe said, describing how the team can divide responsibilities during busy crossover stretches.
This is because of FanWord Assist’s suite of customizable game recap features.
The team at FanWord has optimized all 18 sports supported within Assist through thousands of lines of configurations, designed to make each sport sound exactly as it should in a recap. Baseball sounds like baseball; volleyball sounds like volleyball.
Additionally, the platform is trained to recognize relevant statistics for each sport and surface important data, helping SIDs who may need to write for multiple sports in an evening create an accurate, high-quality recap.
FanWord has built a simple, uniform, and repeatable process from start to finish with customizable recap layouts, the integration of editorial guidelines, and other features. Consistency for all users makes it easy for all members of the sports information team to help one another.
Result: 40 hours saved per month
In the case of Florida Southern, FanWord Assist saves their team 40 hours per month on average. That’s time across game recaps, player bios, transcriptions, online interviews, and feature stories. It directly translates into:
- Earlier nights after late games
- Faster postgame publishing
- More consistent coverage across sports
- More bandwidth for photography, videography, and high-value storytelling
- Less operational friction during event breakdown and next-day setup
- Speeding through interviews for campaigns like senior night and NCAA initiatives
- Easier player bio creation that makes time for stretch goal projects like record books
For the Mocs, whose 30 team national championships has them near the top of the Division II all-time leaderboard, it’s a game-changing partnership that has their communications team leading the way as they head into 2026. Or, as Roe put it:

Want to see how much time your department could save?
Hundreds of college departments are saving hours every week through sport-specific game recaps for 18 sports, plus automated player bios, and a suite of tools designed to deliver efficiency to every sports information team.
Florida Southern became a FanWord partner through a conference colleague at Palm Beach Atlantic that saw the benefits of tools that helps communications teams create fast, consistent, and customizable written content.
The world isn’t changing, but how you may go about it does. Chances are, several departments in your conference or region are using FanWord Assist to power their content strategy.
With FanWord Assist, AI-powered content helps your team focus on what matters most. As Kristen Keller, Associate AD at USC, put it: “The writing that you are doing is not going away. FanWord Assist is just helping you get there faster.”
